Subscription Questions:

  • I’ve got more than 10 properties in my portfolio – which package/s should I buy?

    You can purchase multiple subscriptions to cover the number of properties in your portfolio – for example, with 12 properties you need to purchase 1 x 3-10 property package and 1 x 1-2 property package.

  • My property portfolio is a mix of single lets and HMO’s – can I use Let’s Shield for all of these?

    Yes - our training and assessment structure covers everything required for single lets and HMO properties. Please refer to our checklist that you can find under the ‘Resources’ section of the website.

  • My portfolio includes a holiday rental cottage – can I use Let’s Shield?

    Holiday lets are considered Commercial rentals, covered by some different legislation. Let’s Shield is designed for Residential rentals, and does not guarantee to cover everything required for any form of commercial property. Please refer to our checklist that you can find under the ‘Resources’ section of the website.

  • How long does the subscription last?

    Your subscription covers you and your property portfolio for a period of 12 months from the date you made the purchase.

  • I don’t want to lose my reports by mistake! Does my Let’s Shield subscription auto-renew?

    Yes – we have set up the system to auto-renew so that you don’t lose all your interim and compliance reports across your portfolio by missing a key date! If you don’t wish to renew, simply email support@letsshield.co.uk before the next anniversary date of your subscription.

  • Can my property manager use Let’s Shield on my behalf?

    Yes – your property manager can subscribe and perform the risk assessments on your behalf. If you use a letting agency, we have a separate agency subscription model and they should email us at support@letssheild.co.uk in the first instance to find out more.

  • I’m a letting agent, can I have multiple users with shared access to our lettings portfolio?

    Yes – we understand that within a letting agent or inventory company a property may be supported by more than one team member. We have created the ability for any property managed in Let’s Shield to be linked to another Let’s Shield subscriber, to give flexibility in these situations.

  • When can I cancel my subscription?

    As with all purchases, there is 14 day ‘cooling off’ period during which you can cancel your subscription and receive a full refund. However, if you have started the training, and/or commenced one or more compliance risk assessments, you will have been deemed to have accepted the purchase and waived your right to a refund. You may cancel any future year’s subscriptions by logging into ‘my account’ (via Chargebee) and clicking ‘cancel my subscription’.

  • What happens to the property reports if I cancel my subscription?

    If you cancel the auto-renewal and do not renew for the next year, then the subscriber and property information will be deleted from the portal at the end of the 12 month period of coverage, in line with GDPR guidance on maintenance of data. The property risk assessment and interim reports will no longer be available to you.

Legislation Update Questions:

  • I know the property legislation varies between countries – which countries are covered by Let’s Shield?

    The Let’s Shield training and property risk assessments have been designed to be fully compliant to the legislation in England and Wales. The legislation in Scotland and Ireland has some variations and we will be working on a future release to cover these countries.

  • There is new legislation coming all the time, how is this covered by Let’s Shield?

    The team at Let’s Shield is constantly monitoring the legislative landscape – what stage the various proposals and bills have reached in the legislative process, what is being proposed for the future, and what has finally become active in law. Any changes will be reflected in the assessments and in the training. Subscribers will be notified by email, as well as updates on the website, with details of what steps need to be taken. This might involve taking an refresher training with the new content, and adding a new component at the next interim inspection or annual assessment.

  • How does Let’s Shield keep up to date with the new and upcoming legislation?

    The team at Let’s Shield personally monitor the progress of all legislation related to property compliance - through the reputable press, through the accredited organisations such as ARLA, the RLA and LAR and through government websites and notices.

  • When the legislation changes, what do I need to do for the properties I’ve already assessed?

    We will advise you what measures need to be taken for any specific change in law via a personal email and from notices on the website. Please ensure your emails from Let’s Shield do not go into your spam folder!

  • How do I know if I’ve got the latest version of Let’s Shield?

    The risk assessments will be updated centrally as needed to reflect the latest legislation. Every assessment or inspection taken after the update will automatically be done using the latest version.

Functionality Questions:

  • How long are the compliance reports stored for?

    The reports are held within the Let’s Shield portal for as long as the assessor of that property remains an active subscriber. There is no limit to the number of reports, or the duration they are held for.

  • Can I send the compliance reports to the landlord/ agent/ tenant directly from the portal?

    Yes – your tenant is automatically sent the reports and additionally you have the option to add further recipients, as needed.

  • Can I download a compliance report?

    Yes – you may download a PDF version of any of the compliance and interim reports. To do this simply go to ‘print’ and select to print as a PDF.

  • Do I need any special equipment to be able to complete these assessments in my property?

    As well as having the Let’s Shield portal on a mobile device (phone or tablet) you will also need an infra-red thermometer, a digital food thermometer, a smoke pen and lighter, and a can of detector gas with a shroud. These are detailed in the relevant training modules and can be purchased easily online.

  • If I don’t understand something on the training, where can I get help?

    When you subscribe to Let’s Shield, you will be invited to join our closed members group on Facebook. Here you will be able to ask all your questions, and our Let’s Shield experts, as well as fellow subscribers, will be able to help you.

  • Once done, do I need to submit any of the reports to the local authorities?

    No – you don’t need to routinely send any of these reports to your local authority. These risk assessment reports provide a record to be shared with the landlord, tenant and agent (if used) and to guide any remedial works that need to be completed. If you are inspected, a local authority is then likely to request to see your risk assessments as part of their inspection.

  • Can I rely on the information contained in the reports in the event of court case?

    All the reports are designed to guide you into capturing the required information to provide clear evidence of the state of the property – through recording written notes, photographs and video footage. It is the responsibility of the user to ensure they actually capture the suggested information e.g. videoing a smoke alarm being set off by smoke, photographing the service dates on a fire extinguisher etc.

Technology Questions:

  • Which phones are compatible to use with this software?

    The software has been designed to work with most smart phones in current use – both apple and android. Your phone will need to have a photo and video capabilities. In order to use the portal off line, you will need to have sufficient available memory capacity on your phone. If you discover Let’s Shield doesn’t work with your particular phone, please contact support@letsshield.co.uk.

  • Which computers are compatible to use with this software?

    The software has been designed to work with most pc’s and laptops in current use. If you discover Let’s Shield doesn’t work with your particular phone, please contact support@letsshield.co.uk.

  • There is poor signal at my properties location - does the system work off-line?

    Yes – we understand that Wi-Fi may not always be available, especially during voids, and some properties receive poor mobile signal. Let’s Shield works offline, allowing you to make the assessment, take photo’s, record videos – all saved to the phone. You will then need to download this to the portal, once back in signal.

  • The Let’s Shield portal is not loading on my phone / pc/ laptop – what can I do?

    Please check you have sufficient battery and memory available to download the portal on to the device. If still not working, please contact support@letsshield.co.uk.

  • Where is the user and property information stored? - is it GDPR compliant?

    The Let’s Shield platform runs on Microsoft Azure, which is hosted in Europe and is fully GDPR compliant. Your payment details are held in ChargeBee, which is hosted in America and fully GDPR complaint. Our subscriber details are held on Hubspot, which allows us to communicate relevant information, legislation and system updates to you directly. This data is stored in the USA and is GDPR compliant.
